Hotel Policies

Thank you for choosing to stay with us at The Van Buren Hotel!

Below are hotel policies and procedures; read them carefully. As our hotel guests, by reading and signing your hotel registration card at check-in or by booking a reservation on our website, third-party websites and travel agents you are agreeing to abide by our hotel policies and procedures.

CHECK-IN POLICY

Check-in time is any time after 3 PM hotel time (not guaranteed due to high volume of occupancy). We are happy to accommodate early arrivals; subject to availability at check-in. Certain room type requests may not be available prior to 3pm hotel time. If you arrive earlier, we will be pleased to store your luggage until your room is ready.

Guests will be required to present a valid credit/debit card upon check-in. Please note that for security purpose you will be asked to provide a valid photo/form of identification. The Van Buren Hotel will make every effort to honor special requests (such as a specific floor or room number, roll-away beds, crib, etc.) upon your arrival. However, the availability of these items cannot be guaranteed in advance. The hotel reserves all rights to refuse service to any guests of the hotel who do not follow or comply with hotel policies.

CHECK-OUT POLICY

Check-out is at 11 AM. If you require a later check-out, please contact us before 10 AM on the day of departure, and we will do our best to accommodate your request. A charge may apply, depending on time extension and availability. A $50 fee plus tax may be imposed on guests checking out past 1pm. If staying past 3pm on your day of checkout, a fee of one night’s room plus tax will apply.

DEBIT CARDS POLICY

If you choose to use your debit card at check-in the hotel will place a hold of the full anticipated dollar amount of your stay through your departure date, as well as an estimated hold for incidentals if applicable. Remaining funds due back to your debited account will be released upon check-out, which may take 4-15 business days to process. Additionally, your financial institution may have a contracted amount of time before the funds are released back to you, which can take up to 15 business days. The hotel is not responsible for overdraft charges incurred due to hold.

GUARANTEE/DEPOSIT POLICY

All reservations must be guaranteed for the first night arrival with a major credit card and expiration date. All cancellations must be received by 6:00 PM on the day PRIOR to scheduled arrival.  The hotel will not hold any reservation unless secured by the above methods.

Reservations guaranteed by a credit or debit card will be pre-authorized for guests stay the morning of arrival. If guests method of guarantee does not accept the pre-authorization, that reservation will be held until 4:00 PM local time after which time the reservation will be cancelled.

We accept all major credit cards, but if plastic isn’t your thing, we’re happy to accept cash too. With cash payment, you’ll need to pay the complete room fee (including taxes) in advance, plus a $50  (U.S.) per day security deposit. Of course, you’ll get the extra back at check-out when we settle your bill, after a quick room inspection to make sure everything’s in order.

EARLY DEPARTURE POLICY

If you have a sudden change of schedule and need to leave early, stop by the front desk. We’ll do our best to settle your bill; we may have to charge you a fee.

CANCELLATION POLICY

Cancellations must be received by 6:00 PM on the day PRIOR to arrival in order to avoid a cancellation fee. Reservations that are not canceled by 6:00 PM the day prior to scheduled arrival are subject to a charge of one night’s stay plus taxes. Any changes on rates to your reservation must be done 48 hours prior to your arrival date.

Reservations made through a third-party website or travel agent must be cancelled through that third-party website or travel agent. This policy will allow hotel time to offer these unsold rooms to guests seeking last-minute accommodations.

AGE REQUIREMENT POLICY

All guests must be 18 years or older with valid photo identification. ID must be presented at the time of check-in for age verification in order to reserve and to check-in to a guest room without a parent or legal guardian. Up to four (4) children under the age of 16 stay free in same room as parents or legal guardian.

OCCUPANCY POLICY

An extra person charge of $10.00 will apply if there are more than 2 adults in a guest room. Two (2) persons per room only, except in double and suites rooms in which four (4) people per room are allowed with existing bedding. There’s a $15/night charge plus tax for rollaway beds; cribs are free – they are all based on availability.

ADA POLICY

The hotel is compliant with ADA. ADA compliant guest rooms are available.

PET POLICY

Hotel is a pet-free facility and (a fine of $250.00 will be applied to the folio if a pet is discovered). “Service animals” are allowed with proper documentation. Please advise when making a reservation if you will be bringing a guide dog or service animal into the hotel.

SMOKING POLICY

Breathe easy! We’re a 100% smoke-free environment. So please follow our no-smoking rules because there’s a $250 cleaning fee so that the room may be refreshed for the next guest. This fee will be placed on the guest folio before or after check-out should it be determined that smoking has taken place in hotel.

NOISE DISTURBANCE POLICY

Van Buren Hotel maintains a strict noise control policy. We expect each of our guests to be able to enjoy a quiet and peaceful environment while staying with us. In the event of a disturbance one warning will be given to reduce noise. If this warning is not followed, the guest will forfeit all fees and must leave the hotel immediately.

PACKAGE HANDLING POLICY

There is a minimum charge of $5.00 package handling fee per package plus shipping for returning guests items left behind.
